There is a small conference coming up at the end of February in Arizona that I would very much like to attend. Being hard of hearing, I would really like to have the support of a service like CART, but I have no idea how to approach this. This isn't a public event so I doubt the ADA would require the organizers to provide this service. So who funds this service? my pocket? Is this a service i have to provide/organize for myself or do the conference organizers take responsibility to help provide accessibility? This may seem like a very silly question but I literally have no idea how to do this, I am trying to learn now! Thank you so much for yr patience.

I go to business conferences all the time. I email the host/organizer of the event if they can provide the CART service or ASL interpreter for me. They were always very willing to provide it at their expense.

It is best to do this way beforehand like at least a few months in advance so that they can prepare it for you. But you can still try and ask.

A couple of times, they were very willing to provide it but do not know where to start. I just simply provide them an information about the accommodation I was asking for and who to contact. problem solved.

Thank you so much Jiro, it's definitely a bit late but I will go ahead and give it a try.

Unfortunately they are unable to provide what I've requested.
"This conference is a labor of love, and there is no "budget" of any kind. The cost structure requres that everyone including speakers pay the same amount as attendees, and generally runs at a small loss."
Has anyone had much success finding tricks to fund for these kind of services without paying out of their own pocket?

I failed to notice that you said this is a small conference. now that would be a problem. normally for that... I use ASL interpreter. It is a much cheaper option and sometimes they do pro-bono.... or bartering... or at very low cost.

what kind of conference is it?

It's a beekeepers conference, I will have to see what I can do about an ASL interpreter but with the cost of a ticket being $200 & me not knowing any interpreters in AZ that would be willing to barter, I don't think this is something I will be able to afford.

no no. you don't barter. the host would barter with the interpreter and work out a deal.

it could work like this - there may be an interpreter interested in it for him/herself and would do interpret for free for you as well as be provided with free lunch and something. an interpreter do not have to pay for $200 ticket. a host will provide a free access.

a CART service typically costs around $120-150 per hour while a freelance terp could be around $25-50/hr.

Ah, I understand. Thanks for being patient with me. I will mention this interpreter option to the organizers but I assume this works best if you already know interpreters in the area? Would it be appropriate to contact a local AZ interpreting agency with this sort of request (& would it be me or the organizers requesting)?

I'm from NJ so I don't know any terps in AZ. It's preferable to use a freelance terp as you may not have much flexibility in negotiating with an agency.
